Privacy Policy

1. Who we are
Calibra is operated by CALIBRA SOFTWARE LLC, an Oregon limited liability company (“Calibra,” “we,” “us,” or “our”). Calibra provides a personal reflection and self-evaluation app designed to help you notice patterns, find your bearings, and take meaningful action.
This Privacy Policy explains what information we collect, how we use it, when we share it, how long we keep it, and the choices available to you when you use the Calibra mobile application, website, and related services (collectively, the “Service”).
2. Information we collect
Account information
If you create an account, we collect your email address to create and authenticate the account, sync your information, and contact you about the account when necessary.
Early-access applications and support
If you apply to the founding group, we collect your email address, phone type, contact permission, and any optional first name or brief description you provide. We use these details to review your application, arrange access, and contact you about the founding group with your permission. Applying does not create an app account or start a subscription. Please keep your answer general; private journal content is not needed.
If you arrive through a campaign link and submit an application, we also save its source, medium, campaign, creative and search-term labels when present. These labels help us understand which invitations and campaigns bring applications. This form does not use cookies, browser storage, advertising click identifiers or cross-site tracking for this purpose; it does not send the full URL or your browsing history.
Applications are stored in Calibra’s own n8n service. Selected prospects may also be recorded in our private Notion founding-user tracker. Applications are not sent to AI. We retain them while reviewing applications and running the program, or as otherwise reasonably necessary for the purposes described in this Policy. You can opt out of program emails by replying, or request removal at privacy@usecalibra.com. Support messages include the contact details and information you choose to send us.
User-generated content
Depending on how you use Calibra, this may include:
- Areas, their descriptions or intentions, and the Focuses you create within them;
- Scores, personal score meanings, dated check-ins, and landscape history;
- Actions, action notes, completion status, optional follow-up dates, and your reports of what helped or did not help;
- Journal notes, your choice about whether each note may be used in AI Insight, and perspectives you explicitly ask Insight to remember; and
- Other information you choose to save in the Service.
You control what you enter. Calibra does not require you to submit sensitive information. If you choose to include sensitive information in your User Content, we may process it to provide the Service.
Profile preferences
We may collect preferences and profile information you choose to provide, such as your cognitive model, peak period, motivators, identity notes, and related settings.
Device and usage information
We may receive limited technical information needed to operate and improve the Service, such as app version, operating-system version, device type, crash reports, and basic anonymous usage information. We do not use this information for targeted advertising or cross-context behavioral profiling.
Information we do not intentionally collect
Apart from an optional first name on the early-access form and information you choose to include in support messages, Calibra does not intentionally request your name. We do not intentionally request or collect your phone number, precise location, contacts, camera contents, or microphone recordings. The Service is not designed to collect biometric, health, or other sensitive personal information. Do not enter information you do not want Calibra to process.
Guest use and local data
If you use Calibra without creating an account, information may remain stored locally on your device and may not be transmitted to our servers. Features that require synchronization, backup, AI processing, or account access may require an account.
3. How we use information
We use information to:
- Provide, authenticate, sync, back up, and maintain the Service;
- Save and display your User Content and preferences;
- Generate reflections, summaries, prompts, and other requested features;
- Diagnose errors, prevent abuse, improve reliability, and protect security;
- Respond to support, privacy, and legal requests;
- Review early-access applications and send founding-group communications with your permission; and
- Comply with applicable law and enforce our agreements.
We do not use your User Content for advertising, sell it to data brokers, or use it to build advertising profiles.
4. AI-assisted features
Calibra’s AI Insight feature uses OpenAI through Calibra’s Supabase backend. An Insight about an Area or Focus uses the relevant active content; “See what’s connecting” can consider active Areas together. Requests may include Area and Focus identifiers and names, intentions or descriptions, current scores, dated check-in history, personal score meanings, and action identifiers, titles, completion and priority status, notes, and dated outcomes you recorded. Completing an action is not treated as proof that it helped.
Journal notes: AI access starts off
Saving a journal note stores it with your Calibra account; it does not by itself permit AI use. A note is eligible for an Insight request only after you turn on “Allow this note in AI Insight” for that saved note. Calibra checks the saved permission when preparing each new request and may include relevant excerpts, their dates, and source identifiers. Turning permission off, once the change is saved, excludes the note from future requests without deleting the note.
Your perspective and remembered context
If you add your perspective or correct an Insight, your text is sent when you submit it with “Reflect with this,” together with the preceding observation and question. It is not added to saved perspectives unless you explicitly turn on “Remember this perspective” and submit it. A saved perspective is stored with your account and may be included in relevant future Insight requests. Calibra does not automatically save AI-generated conclusions as remembered perspectives.
Where these controls are available in your app version, you can review and forget saved perspectives in Account & settings → Insights & privacy. After removal is confirmed, a forgotten perspective is excluded from future requests. Journal consent and saved-perspective controls are available only in app versions that support them; journal notes are excluded unless you have explicitly enabled their use.
Your choices and their limits
You can turn off AI insights in Account & settings on your device to stop new AI requests from that device and clear its temporary Insight cache. Local check-in summaries and factual readouts do not require an AI request. Onboarding profile answers are not included in Insight requests. Revoking note permission, forgetting a perspective, or turning AI off cannot recall content already sent to a provider or cancel processing that has already begun.
Calibra sets the OpenAI API request’s storage option to false. This is not a promise of zero provider retention: OpenAI may retain data under its applicable API data controls, including for abuse monitoring. See OpenAI’s API data controls and privacy policy. Do not include information you do not want processed by these providers.
AI-generated output may be incomplete or inaccurate. It is not medical, mental-health, legal, financial, or other professional advice.
5. How we share information
We may share information with service providers that process it on our behalf and under appropriate contractual or operational controls, including:
- Supabase, Inc. for database, authentication, and application infrastructure. Supabase infrastructure is hosted on Amazon Web Services (AWS).
- OpenAI when you use the AI-assisted feature, as described above.
- App marketplaces and billing providers when needed to process purchases, subscriptions, entitlement status, or refunds. Calibra does not receive your full payment-card number from an app marketplace.
- Security, support, and infrastructure providers when necessary to operate, protect, or troubleshoot the Service.
We may also disclose information when required by law, to respond to lawful process, to protect rights or safety, to investigate abuse or fraud, or in connection with a merger, acquisition, financing, reorganization, or sale of assets.
We do not sell personal information, share it for targeted advertising, or disclose it to data brokers.
6. Data storage and security
Account data and synced User Content are stored on servers provided by Supabase, with infrastructure hosted on AWS. Data is encrypted in transit using TLS and encrypted at rest through the applicable infrastructure controls.
The app also keeps data on your device to support use and recovery between connections. This can include journal drafts, pending changes, and copies kept when changes from different devices conflict. A journal draft is sent to your account when you choose to save or retry saving it; storing a draft on the device does not grant permission to use it in AI Insight.
We use reasonable administrative, technical, and organizational safeguards, but no method of transmission or storage is completely secure. You are responsible for protecting access to your account and device.
7. Data retention and deletion
We retain account data and synced User Content while your account is active or as reasonably necessary to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, and protect security.
Journal notes and explicitly remembered perspectives are account content. Turning off a note’s AI permission does not delete the note. Forgetting a saved perspective removes that saved item from your account after the operation is confirmed. These changes do not delete copies already processed by a provider under that provider’s retention rules.
If you delete your account, we will permanently delete associated data from our active servers within 30 days, except for information we must retain by law or limited copies that remain temporarily in secured backups under normal backup-rotation practices.
Guest data stored only on your device may remain until you delete the app, clear its data, or otherwise remove it through your device settings.
8. Your privacy choices and rights
Depending on where you live, you may have the right to:
- Access a copy of the personal information we hold about you;
- Correct inaccurate information;
- Delete your account and associated personal information;
- Request portability of information you provided in a machine-readable format; and
- Object to or restrict certain processing where applicable law provides that right.
To make a request, contact privacy@usecalibra.com. We may need to verify your identity before completing a request. We will respond within the period required by applicable law.
You may also control information in the app by editing your content, changing a saved journal note’s AI permission, forgetting a saved perspective, turning AI insights off on the device, or deleting your account where those controls are available.
“Export device data” includes the content currently available on that device, which may contain private journal drafts and sync recovery copies. It is not a complete account export: cloud-only journal entries and saved perspectives are not included. For account-wide access or portability requests, use the privacy contact above.
9. Cookies and website technologies
The website may use essential cookies, local storage, server logs, or similar technologies needed to serve pages, maintain security, remember preferences, or understand basic site performance. We do not use cookies for targeted advertising. If we introduce non-essential analytics or advertising technologies, we will update this Policy and provide choices where required by law.
10. Children's privacy
Calibra is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact privacy@usecalibra.com and we will take reasonable steps to delete it.
11. International processing
Our service providers may process information in the United States or other countries where they operate. Those countries may have data-protection rules that differ from the rules where you live. We use reasonable measures required by applicable law for relevant transfers.
12. Third-party services
The Service may link to or integrate with third-party services, including app marketplaces, authentication providers, hosting providers, and AI providers. Their privacy practices are governed by their own policies. Review those policies before using the relevant feature.
13. Changes to this policy
We may update this Privacy Policy as the Service, our data practices, or legal requirements change. We will update the “Last updated” date at the top and provide additional notice when required. Your continued use of the Service after an updated Policy takes effect means that you acknowledge the update.
